Sending Proposal To Client/Stakeholder:
This function may be performed only by the user roles of Super Admin and Admin (hereinafter collectively referred to as "CONTROLLER" for the sake of brevity). Other user roles cannot exercise this function.
The purpose of this option is to present the client / stakeholder with the parameters of the proposed project (the task breakup, the resources required to be allotted, the budgeted number of hours, etc), and the overall project proposal, along with a professional services agreement. An email is generated to the client that provides them the URL, the username and the password to log into GTP, and invites them to take one of two possible actions:
- In GTP, authorize the project by clicking on "I Agree", and proceeding to make the payment, or
- Log out of the system, and respond to the email with their requested changes or revisions to the proposal.
This function operates as follows: For a given project, a task may be created by any user role other than the PM. After creation, this task shifts from the TASK panel to the PROPOSALS panel.
When CONTROLLER logs in, they get to see all tasks created and lying in the PROPOSALS panel. In case a particular task should be visible to the client, and / or a particular task requires client input, and / or a particular task requires client confirmation of payment, then before authorizing the PROPOSAL (by setting the "Authorized" field to YES and updating the task), CONTROLLER first sends a formal proposal to the client / stakeholder.
CONTROLLER gets to see a new field: "Visible for Stakeholder". This field has to be set to "YES", in order for the stakeholder to see the proposal on their screen when they log in, so that they can initiate appropriate action. After setting the field to "YES", click on the "Send Proposal to Stakeholder" button at the bottom of the PROPOSAL. This action results in a Note being automatically generated by the system with the message "Proposal email sent…", along with the IP address from which the proposal got sent.
Now, when the stakeholder logs in, they get to see the proposal. If the proposal entails payment, the stakeholder is expected to make the appropriate payment. If the proposal is in the form of a piece of communication asking for stakeholder approval, the latter does so in the appropriate textbox and clicks on UPDATE TASK.
After client/ stakeholder input has been received, the same information appears on the left hand section of the screen under the appropriate tasks.
