Adding New Tasks And Managing Tasks:
This function may be performed only by the user roles of Super Admin, Admin, PM and PMA (hereinafter collectively referred to as "CONTROLLER" for the sake of brevity). Other user roles (viz., the RM user role) cannot exercise this function.
When the CONTROLLER logs into the system, on top of the screen is a dropdown field which lists all the active projects. Clicking on the down arrow and selecting the appropriate project brings that project up on the screen.
All tasks created under that project are listed one below the other, in "collapsed" state; and each of them can be expanded by clicking on the task name.
Creating a new task is possible through the last section enclosed by a box. This section has the following fields, with the control button "Add As New Task" which operates the process of task-creation:
- Task Name: Enter the name of the task to be accomplished here.
- Resource Member: From the dropdown box, select the appropriate username who is being assigned this task.
- Client Item Price: Enter the price for the task that will go into the billing to be raised to the client.
- Description: While the "task name" was brief, enter the full description here of the task that is being expected from the RM.
- Where is the ball: After this task has been created, which user role is supposed to take action on it? Click on the appropriate user role.
After all the above details are filled, click on the "Add As New Task" to create the task.
After the above activity has been completed, the entire content shifts from the "TASK" pane to the "PROPOSALS" pane, which is distinguished by a different hue in the background.
The RM user role gets to see the tasks that are still in the "PROPOSALS" pane, as is; but they are not allowed to modify any of the content posted in any fields.
The PMA user role gets to see the proposals, and may also add their own notes in the Confidential section and the regular (visible-to-client) section; but they are not allowed to modify any of the content posted in any fields.
The PM, Admin and Super Admin user roles can see the contents as they were exactly posted when the task was originally created, and can make amendments to the same. Further, these user roles can perform the following additional activities on the proposed task:
1. Re-assigning the task to some other RM.
2. "Authorize" the task by selecting the "YES" option from the corresponding dropdown box. Re-assign the "Authorize" to "NO" yet again, as per circumstance.
3. Assign an appropriate priority (from 1 to 9, 1 being the highest). Re-assign this priority at any point of time later during the course of the project run.
After selecting the "Authorize" and "Priority" fields, these user roles can click on "UPDATE TASK" . Doing so now shifts the content from "PROPOSALS" to the regular TASKS panel. At any stage, any of these user roles can toggle the "Authorize" field to "NO", which will cause the authorized task to drop down to "Proposal" level.
The PM, Admin and Super Admin user roles can also post notes in the Confidential section as well as in the regular (visible-to-client) section, and send the updated task information as email to the client.
While in the "PROPOSALS" stage, the Admin and Super Admin user roles can perform yet another function beyond the ones described above (1 to 3):
4. Send the proposal to the client / stakeholder for their approval. This function is described in detail in chapter 8 ahead.
In addition to the aforementioned additional capabilities (from 1 to 4 above), the Super Admin user role can perform an additional, fifth function:
5. Delete the task / proposal altogether.
