"Service Providers,
Dramatically
Cut Your Operating
Costs!" |
 |
 |
|
|
If you are an existing
service provider or are planning to put up a business very soon, you
might not have enough resources to handle many projects without a
big overhead.
Are you still managing your business and
projects manually?
Systems that are managed manually can prove to be very
time-consuming, not to mention financially risky.
How does a manually run project management
system bloat your expenses, lower your profits, and decrease client
satisfaction?
Ineffective information management. E-mailing is not the way to
go when you need to manage a project involving a lot of back and
forth communications with your stakeholders (e.g., clients, vendors,
employees, project managers, and subcontractors). When you are using
e-mail to distribute and manage project information and then a
client calls, it is tough to give the client an accurate snapshot of
a project and expenses with only a moment's notice.
Unmanaged scope creep. Scope creep refers to add-ons and changes
made in the scope of a project after the work has commenced. When
these add-on and change orders are not managed, they can hurt your
budget drastically and can damage your relationship with your
clients.
More Charge backs. Charge backs often result from 1.)
lack of the business owners knowing in advance and communicating to
clients about impending cost overruns, 2.) buyers remorse
because they authorized more work then they could afford because of
bad project tracking and accounting systems, 3.) manual or
poor project management systems that result in unsatisfactory
quality of project deliverables, 4.) misunderstandings about
work performed or charges incurred, and 5.) poor
recordkeeping.
|
|
Slow work progress. Without an organized project management
system, you'll be doing nearly all day-to-day project management
activities manually and at a very slow pace, from communicating with
stakeholders and managing/assigning projects, to compiling project
management reports and assembling project information bytes, to
manually micro-managing time budgets and add-on and change orders to
prevent cost overruns. The more time spent on a single project, the
less revenue for you.
Inefficient
time tracking, invoicing, and accounting. As your business
grows, it will become highly impractical for you to keep track of
individual project budget caps, time tracking, subcontractors'
accounts receivables, and invoicing. Soon, as these aspects are not
handled properly, there will be dwindling client, employee, and
subcontractor satisfaction. According to the SBA, the number one
reason a company goes out of business is its accounts receivable
system. The rapid delivery of services also depends on the
dependability of your accounting reports, which have to be
professionally done.

Why control your business growth
just because you don't have the resources to manage it
systematically? |
OfficeOnTheInternet
was born of necessity, and, as they say, all good inventions
are born of necessity. We wrote it, and it was designed to be used
by us. The nice thing about it is, no disrespect meant to my fellow
computer engineers out there, that it was written and designed by
successful business owner/operators, taking our successes in
business and our success model and programming it into the actual
architecture of the software: OfficeOnTheInternet.
And because it's very important that we deliver
excellent, superior-quality service
we came up with a tool that would allow us to do that.
We have woven our core business success model into the architecture
OfficeOnTheInternet, and that is one of the grand benefits of
buying OfficeOnTheInternet over any other software.
Sure, there are other tools that are out there for project
management, such as Project and Primavera. The problem with those
tools is that they're just too complex. They were created and
written by engineers. Large companies have employees who are simply
dedicated to putting information into these systems (Microsoft
Project and Primavera), and then they must also employ several
people dedicated to getting the information out of the system. And,
for the vast majority of professional services, these project
management software programs have features that have no practical
application and, therefore, are just incredibly too costly and
complex!
Let OfficeOnTheInternet guide you through the expansion of your business by
providing you with a website portal to
support the management of your projects (including your in-house
business operations projects).
OfficeOnTheInternet was written specifically for service
providers, and it was born in necessity for our growing company
EXCEL-WEST because we 1.) are obsessed with quality and
client satisfaction, 2.) wanted to be very efficient and
fast, 3.) wanted to have the competitive edge, 4.)
needed to reduce our overhead costs, and 5.) knew we
could strip away the hassles and stress of doing business.

Why did
we design OfficeOnTheInternet?
I think my biggest leap in
improving my business model came after 2001, following the 1-2-3
punch of the Tech Wreck, the Dotcom bomb, and 9/11. During this
time, I would say about 80% of my clients (and competitors, too)
went out of business or filed bankruptcy, and that left me with
about $26,000 in accounts receivable. That was when I
definitely made some changes to our business model.
During that time, we started
to write OfficeOnTheInternet, chose a strategic partner, and
created the entire blueprint for the software as a service (SAAS)
application. We located a world-class engineering team to assist in
the development of OfficeOnTheInternet. We focused on automating
the EXCEL-WEST success model while developing a web-based
application (OfficeOnTheInternet) that would help us to get paid!
The greatest benefit about OfficeOnTheInternet is the control the business owner has in
order to get paid.
In my upcoming book (to be
released in 2009), I list a myriad of tricks that unscrupulous
businesspeople will use to attempt to either lower their bill or get
their bill reduced, to get you to completely void out any invoices
you might have, to erase their accounting history with you, or to
give them free services or any number of unscrupulous types of
things . . .
With these in mind, I wrote
the plan for OfficeOnTheInternet to be a tool that is built in
complete support of an authentic, honest, transparent business model
that ensures that both the scrupulous clients and the scrupulous
business owners are looked after, the client's happy and we get paid
for all services rendered.
Learn from my list of
biggest mistakes. Somebody has to! I have been in business
for 10 & ½ years. I am the founder of EXCEL-WEST, a successful
international I.T. engineering firm. I am also the creator of OfficeOnTheInternet. I went into business for myself because I was
raised by family business owners and entrepreneurs, I learned my very
first business lessons on a construction site.
My grandfather was a general
contractor who taught me an exceptional work ethic, based on
extremely high-quality standards. In fact, when we would
occasionally build things, such as a doorjamb, the wrong way, my
grandfather would make us tear it all out and redo it until we got
it right.
Little did I know that this
training would prove valuable to me in my adult years.
I have an interesting and varied background in
various fields, nursing, healthcare administration, and IT. After
helping the companies I worked for reach income levels they could
only dream of before I tweaked their marketing techniques and IT
infrastructure, I finally decided to go and work for myself in 1997,
and I started my own business.
I already knew a whole lot about business by
the time I started EXCEL-WEST. At the companies I worked in, I had
worked with financial spreadsheets and projections outlining
expenses, overhead costs, and goals
looked into and managed accounts receivables;
promoted businesses, enjoying writing, advertising, promoting, and
bringing in business and business development gained experience in business operation and all its facets
managed people, specifically teams of up to 40 employees
acquired working knowledge in the legal aspects of the business,
such as contracting and risk management
But the area that I had little experience
in, one that probably no one could have prepared me for, at least not
any business school, was getting paid, or making sure that I
got paid. Initially, a lot of how I managed getting paid had to
be trial and error.
Our company, EXCEL-WEST, is a
professional services company...and by definition, a
professional services company involves people who perform a
service and is paid for that service. Just a few examples of

If you are one, or if you believe you are indeed a professional
services company/provider by virtue of this definition, then you
absolutely know this, it's really important to make sure you get
paid.
People will try to burn you,
and they will burn you. You'll waste precious time and effort trying
to get your money from people, from unscrupulous clients who will
use your service and not pay you.
There will always be
unscrupulous clients who would take advantage of your company size,
or your inexperience, or your lack of business infrastructure.
Or, sometimes, business owners
are just too shy to present the clients with service contract
agreements or requests deposits at the very start for fear of
driving them away, and then it's only later, when you've been
burned, that you realize that you should have handled everything in a
professional manner from Day 1.
Today, as you attempt to
improve your business model, I want to share with you some things
that I've done that will help you ensure you always get paid.
Sincerely,
Deeba Hargis

powerful feature of OfficeOnTheInternet.

maintain being the point of contact with your clients.
Better management of accounts receivables, accounts payable, time
tracking and invoicing. OfficeOnTheInternet allows your
employees and subcontractors to track their time and offers
accounting reports, helping you to get them paid faster and to
maintain a high-quality, high-skill professional workforce with less
turnover and more employee and subcontractor satisfaction.
Increase client satisfaction by cutting costs, increasing
profitability for your company, cutting costs for your clients, and
being able to rapidly deliver services and invoicing.
Streamline accounting with OfficeOnTheInternet accounting
reports and accounting modules.*
Improve search engine positioning. Websites are ranked based on
popularity and loyalty - that is, on how frequently someone visits
your website. With OfficeOnTheInternet, your entry page is on
your website, on your domain. So whatever your domain is, if
it's 'http://yourbusiness.com' or whatever it is, they have to go
there to log in to OfficeOnTheInternet. And so in going there,
all your clients who need to log in daily increase the loyalty
calculation with Google, consequently increasing your page ranking
in the Google search engine.
Top Things You
Want To Do To Make Sure You
Get Paid by Clients for Good
Work:
Always get a retainer and maintain a retainer for large
projects. Why? Because clients that are serious about doing
business with you want you, and you're in demand. Deposits
are essential. You want to make sure that you always
have a retainer deposit and that there's some reserve. Ask your
clients to maintain a credit card on file. If a client is
serious about retaining you and is serious about making sure
that they maintain a good relationship with you, their trusted
service provider, he or she is not going to object to
maintaining a credit card on file with you. This is really,
really important. You don't want the clients owing you money. You
want to owe them service.
Make sure you have a really good contract that
explains exactly all the terms for payment - that's really
essential.
Make sure you have a good accounting system. An
accounting system is not just great software, its a great
system. No disrespect to bookkeepers or accountants is intended.
My experience has been that no one is going to care about your
books like you. No one is going to put information into your
books as accurately as you could, and that can be a real
problem.
Find a dependable collection company. Follow-up on your
accounts receivable. You don't want to let something get to the
point where it's going to go to collections.
Automate your business model. Go paperless with your
operations, accounting, and project management. Do you have a
big dream?
Allow us to help you realize that dream... I'm going to talk about one of
my favorite clients - a physician for a healthcare recruitment
company...a guy - just a lovely person - and he had a dream, a
vision - he felt as though he was being called by God to bring
this new business venture to fruition. He had the financial
resources and time, and other resources to be able to do this very
quickly. And he had a very clear vision about what it was that he
wanted to create.
Using OfficeOnTheInternet, we laid out all of the aspects of
the project. In this case, the business model called for
incredible marketing and graphic design people to develop his logo;
we also needed competent website engineers to be able to write the
code and the architecture; we needed professional content writers
that could weave the content for our site. So all these core
competency skill sets had to be brought to the table as part of his
dynamic team that we especially assembled and assigned for his
particular project.
OfficeOnTheInternet enabled him to basically post communications
with each of these various teams - experts in all of those areas -
on the various tasks of his project, in a 24/7, 365 environment,
through the mechanisms of OfficeOnTheInternet. Now, that's the
"new-school" era - of OfficeOnTheInternet and doing business.
With this setup, there's virtually no drag or lag time. The
information is directly sent to the person working on the task. And
then on the other side, the resource members, depending on how you
assign permissions, can post their information as well.
Now, their information can be posted in a confidential manner which
you, the Project Manager, or the Quality Assurance team, look at
first and evaluate, and forward either all of the post or in turn
make some type of synopsis of the post and post it back to the
client. So this really allows the full momentum of the project to
move forward in this new era that we're in, and it's made
possible with OfficeOnTheInternet.
Even employees, resource members, contractors, or third-party people
that you hire would have the ability to not just log their hours,
but also describe the work that they've performed by making posts,
which is terrific because it enables you to run reports.
This is indispensable in billing because, say, you're a general
contractor and you have 5 different subcontractors underneath you -
a plumber, a mason, somebody who does sheet rock, and so on and so
forth - you can run a report on each of those subcontractors' hours
and you'll create a client invoice, and it will have all of the
hours of each of your subcontractors in that particular invoice.
This will include all the information, including the date of
service, the type of service, and the description of the service
that was performed.
Uncover your business' true potential!
Check out what OfficeOnTheInternet can
possibly do to your business:
Immediately increase the number of clients that you
can service by 300-1000%.

demonstrate unprecedented efficiency through OfficeOnTheInternet.
Cut your overhead costs by as much as
50%. Fire your bookkeeper! You
probably won't need them anymore. Instead, get yourself a
nice data entry person. Sorry, no disrespect to bookkeepers.
Get paid! Misunderstandings disappear! They're quickly
eliminated!
